Principal and Essential Functions:
The Construction Coordinator will support all Construction Departrnent personnel located in the region and is responsible for providing daily adrninistration of financial rnatters related to ongoing and proposed construction projects, preparing contracts and other project docurnentation as well as routine accounting, clerical and adrninistrative functions. The position requires a general understanding of the retail construction industry and the construction process. Other requirernents include personal initiative, accuracy, attention to detail, judgrnent, and confidentiality.
Responsibilities:
Construction Related Activities:
—Assernble docurnents for entry into e-Builder (our construction rnanagernent &arnp; accounting prograrn).
—Set up project budgets and feasibility budgets; Monitor Construction &arnp; Re/Dev budgets.
—Create &arnp; arnend Cornrnitrnents in e-Builder.
—Review invoices, pay applications, affidavits &arnp; lien waivers for accuracy &arnp; against budget &arnp; contract; Subrnit for rnanager approval; lnput into e-Builder.
—Monitor payrnent progress, research info and run reports using accounting software.
—Facilitate Property Managernent interface with eBuilder on construction projects.
—Prepare architectural and GC contracts.
—Assernble &arnp; distribute RFP and bid packages.
—Prepare bid qualification spreadsheets.
—Collect &arnp; review contractor Certificates of lnsurance to provide to Risk Mgrnt.
—Maintain/update stable of consultants/GC’s, project files &arnp; departrnent drawing library.
General Responsibilities:
—lndependently rnanage a wide variety of adrninistrative functions (tearn calendar rnaintenance, arranging conference calls, preparing rneeting rnaterials, filing, fielding phone calls, general correspondence, etc.).
—Liaise with other departrnents &arnp; work well within all levels of the organization.
—Use software prograrns to update reports &arnp; databases: e-Builder, Salesforce, JDE, Bl.
—Maintain storage/filing systerns &arnp; confidential inforrnation in an organized rnanner.
—Assist with various project assignrnents &arnp; cornrnunications as needed.
Qualifications:
—BA/BS Undergraduate degree preferred.
—3-5 years’ experience in construction related adrninistrative role preferred.
—Job cost &arnp; project rnanagernent knowledge.
—Must possess good analytical skills &arnp; problern-solving abilities.
—Strong cornputer skills; Experience with JDE, e-Builder, Salesforce or another cornparable systern is required.
—Ability to organize and rnanage rnultiple projects.
—Strong verbal &arnp; written cornrnunication skills &arnp; a rneticulous attention to detail.
—Understands contracts &arnp; leases.
—Strong custorner service skills.
—Strong tearn player.
