Realty Income is looking for a Mail Coordinator to join our team! The Mail Coordinator’s primary duty is the management and facilitation of mail to the correct internal departments. In this role, you will be entrusted to independently manage the vendor relationships with outsourced mail providers, act as an escalation point for mail delivery issues, train users on our mail platform and assist with special tasks from time to time.
ESSENTIAL JOB FUNCTIONS:
Company Mail Operations
—Maintain and ensure compliance with company’s mail policies and procedures.
—Communicate regularly with internal departments to ensure efficient mail delivery and handling.
—Provide training to all company administrators who handle inbound mail.
—Manage relationship and processes with third party mail management vendor including regular communication and addressing any issues encountered.
—Review and assign company mail documents.
—Receive and distribute mail packages.
—Assist with outbound mail preparation and execution as needed.
—Review third party mail management vendor invoicing for accuracy and process for timely payment.
—Seek reimbursement from employees as needed for personal mail deliveries.
Other Functions
—Monitor and distribute inbound email communication from our website.
—Obtain signatures and complete Notarization for department documents.
—Special projects as assigned by department leadership.
Knowledge, Skills, and Abilities:
—Computer/software
——Strong word processing skills.
——Strong Excel skills.
——Strong PowerPoint skills.
——Internet research.
——Experience with Salesforce.
—Administrative
——Excellent time management, ability to prioritize tasks from various individuals/departments, and make adjustments in a manner to complete all tasks.
——Excellent written and oral communication.
——Ability to handle highly sensitive and confidential matters.
——Ability to anticipate conflicts and address them before they happen.
——Self-motivated; determined to make improvements, including ability to identify and discontinue unnecessary tasks in order to take on more meaningful ones, generate ideas for streamlining department’s operating procedures.
What you need to be successful
—Minimum of 5 years of prior or related work experience in a similar administrative role.
—Licensed Notary Public in the State of California

The hourly rate for this role is in the range of $21.00 – $31.13. You may be eligible for an annual discretionary bonus and an annual discretionary stock award, (dependent on date of hire) to be discussed during the initial phone interview. Base salary and total compensation package determined by the candidate’s experience, knowledge, education, skills, performance, and abilities, as well as internal equity, company performance, and alignment with market data.
