The Sr. Project Specialist will be responsible for handling essential daily administration tasks to support D&C’s Project and Engineering Directors to execute Capital Projects. Key responsibilities include project coordination, contract and vendor administration, invoice processing, reporting, data and documentation management. Act as a liaison between project teams, stakeholders, and other departments to facilitate effective communication and support project execution. This role will suit a proactive individual who can work independently, manage multiple priorities effectively, and collaborate with a broader team to support the goals of the Design & Construction Department.
What will I be doing?
The Sr Project Specialist position is responsible for and will include, but not limited to:
Project Coordination:
Organize and facilitate quarterly training sessions for vendors and external partners.
Ensure compliance with D&C Policies, Procedures and Park controls.
Provide vendors with project data, including actuals, project commitments, and invoice, contract status and annual updates of training materials.
Contract Administration:
Review, edit, assemble, and process both standard and out of system contractual agreements.
Identify and resolve discrepancies, inconsistencies, or irregularities in contract agreements.
Maintain and update a contract tracking log, monitoring the status from initiation to full execution, and diligently follow up on aging contracts.
Vendor, Invoice & Sales Use Tax Management:
Manage the set-up of vendors in the system, processing forms and vendor verification.
Review and process invoices, ensuring accuracy and completeness.
Manage collecting, tracking and submission of Sales Use Tax, Quarterly accruals and COI renewals from PD’s / Vendors.
Data Management (Intellect System):
Become an Intellect super user, supporting department goals and system improvements.
Edit project information, financials, forecasts and variances in the system monthly .
Set-up new project and funding requests, complete budget table / forecast and project files.
Reporting & Documentation Management:
Collect, organize, and file corporate records, consultant reports, closeout documents.
Maintain and update a close out document tracking log, monitor submission and filing statuses and follow up diligently until completion.
Develop and manage additional tracking logs for administration tasks as needed.
Additional knowledge/skills/qualifications
Thorough knowledge of computer and database applications such as Windows, Excel, Word, PowerPoint, Project, Access, etc. – advanced Excel skills required.
Superior oral and written communication and interpersonal and negotiation skills required.
Proven excellent analytical and organizational skills.
Proficiency in analyzing and interpreting contractual documents.
Flexibility and ability to adapt to a changing work environment.
A general understanding of the construction industry and practices is advantageous.
What skills and qualifications must I possess?
Advanced computer skills, with a good working knowledge of IT tools needed to manage all aspects of administration, scheduling and scope. Meticulous attention to detail.
High school/GED
2-3 years related experience.
What additional skills would be advantageous?
Construction knowledge and contract administration preferred. Hospitality project experience is a plus.
BA/BS/Bachelor’s Degree.
3-5 years related experience.
2+ years of management or supervisory experience
