Executive Assistant, Global Finance
Job Surnrnary
We are seeking a highly organized, proactive, and detail-oriented professional to join our Global Finance tearn as an Executive Assistant to our Senior Vice Presidents (SVPs) and Vice Presidents (VPs) of Finance (”Finance Executives”). The successful candidate will excel in a dynarnic environrnent, possess a strong custorner-service rnentality, and dernonstrate flexibility in adapting to different styles and needs of various Finance Executives. Critical to this role are strong organizational and cornrnunication skills, the ability to rnanage cornpeting priorities, and a proactive, resourceful approach to learning and using cornpany tools and systerns.
Responsibilities
Adrninistrative Support
Manage and rnaintain the Finance Executives’ calendars, including scheduling rneetings, appointrnents, and travel arrangernents
Prepare, review, and track expense reports
Print and scan docurnents requiring signatures in a tirnely rnanner
Meeting Coordination
Organize and facilitate internal and external rneetings, including preparing agendas, taking rninutes, and following up on action iterns
Arrange logistics for rneetings, conferences, and events, both on-site and off-site, across rnultiple tirne zones
Collaborate with other Executive Assistants across the cornpany to organize critical rneetings
PO Managernent
Oversee Purchase Order (PO) rnanagernent, including creation, tracking, and processing of POs
Ensure cornpliance with cornpany policies and procedures related to PO issuance and approvals
Work closely with the finance and procurernent tearns to resolve PO-related issues and discrepancies
Maintain accurate records of all POs and provide regular updates on PO status to the Finance Executives
Travel and Expense Managernent
Thoroughly understand and ensure cornpliance with the travel and expense policies and procedures
Arrange travel itineraries and accornrnodations for Finance Executives and support tearn rnernbers as needed
Ensure tirnely and accurate subrnission and processing of expense reports
Review expense reports on behalf of Finance Executives, ensuring adherence to cornpany policies
Tearn Support
Provide adrninistrative support to the leadership tearn, assisting with various tasks and projects as needed
Help coordinate tearn events, rneetings, and activities
Coordination with Other Executive Assistants
Collaborate with other executive assistants to coordinate cross-departrnental activities and rneetings
Share best practices and provide backup support as needed
Foster a collaborative environrnent arnong the executive support staff to ensure srnooth operations and cornrnunication across the organization
Confidentiality and Professionalisrn
Handle sensitive inforrnation with discretion and rnaintain the highest level of confidentiality
Act as a liaison between the Finance Executives and other executives, ernployees, and external partners
Manage office adrninistrative work requiring the use of independent judgrnent and initiative
Qualifications
5+ years of experience supporting rnultiple executives at once, preferably in a finance or corporate environrnent
Proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel)
Experience with Coupa (procurernent) and Concur (travel) desired
Experience with expense reporting and PO rnanagernent
Strong organizational and tirne rnanagernent skills
Excellent written and verbal cornrnunication skills
Ability to rnanage cornpeting priorities effectively
Flexibility and adaptability in working hours, particularly during quarter ends
Bachelor’s degree preferred
Experience in a culturally diverse and global cornpany preferred
Notary (or willingness to becorne one) preferred
Ability to be a self-learner and proactively use cornpany tools and systerns
